Using Microsoft Outlook? Connect it to your HubSpot account and simplify your workflow, with an integration that transforms HubSpot into your business’s central communication hub.
Now you can see all emails logged to clients or leads, providing clarity and eliminating the need to BCC or forward emails. It also reduces internal follow-up discussions.
We frequently hear clients remark how valuable it is for them to track emails (to see who has communicated with a contact, if the email was opened, and the entire history of each thread) without needing to ask another team member for the status.
So what are the benefits of this integration that make it so useful?
HubSpot's Outlook integration makes sales and marketing easier with features and tools that boost your team’s efficiency. While admittedly not the most reliable integration compared to HubSpot’s Gmail integration, it helps make a lot of tasks easier.
Thanks to tools like snippets and templates, you can create and share reusable email content and short text blocks for quick insertion into emails, chats, or logged activities, saving time on repetitive tasks while maintaining consistency and personalization. Access these while composing emails in Outlook – no clicking back and forth, no copying and pasting (we know you like control+V but you can don’t have to use it here!).

Create follow-up tasks directly from your email and sync them with Google or Office 365 Calendar to stay organized. Set up reminders to ensure timely communication with prospects. This is genius because, if you’re in sales, you may think: “I’m going to send an email today but if they don’t respond I’ll follow up in a week.”
But then a week goes by and you forget – unless you set a task right at the same time you sent the previous email – which this helps you do! Problem solved and crisis averted.
Moving on . . .
Access tools like the meeting scheduler and sales documents directly from Outlook to streamline scheduling and document sharing. Include meeting links and important documents saved in HubSpot.
View relevant contact information without leaving your inbox and click directly into the contact record in HubSpot.
Track email opens, click-through rates, and other engagement metrics to time follow-ups effectively. Easily log emails sent from Outlook into HubSpot CRM with a single click, saving manual data entry. Receive real-time notifications when recipients open your emails, click links, or download attachments.
You can also adjust your log and track settings to keep certain emails out of your CRM.
Enroll contacts in automated email sequences and workflows directly from Outlook to nurture leads and boost engagement. Get your sales prospects into nurture and drip communications right from your Outlook screen? Yes please.

When HubSpot integrates with Outlook, it allows you to track emails, log interactions, and access CRM data directly from your inbox.
The HubSpot Sales Office 365 add-in lets you track and log emails and use HubSpot sales tools right from your email. You can use it on your Outlook desktop account for Windows and Mac, as well as in Outlook on the web and Outlook.com.
Heads up: The Outlook integration tends to disconnect often (forcing you to log in to HubSpot again), and bugs are common compared to Gmail’s integration for HubSpot. If you have a choice between them, you’re better off leaning towards Gmail here.
Also, be sure to avoid the legacy option (the HubSpot Sales Outlook desktop add-in for Windows). Due to changes in Outlook for Windows, HubSpot won't develop new features for this add-in.
With HubSpot's Outlook integration, you can easily log sales interactions, track email engagement, and access CRM data directly from your inbox. This helps you manage your individual communications more effectively and ensures your sales emails are properly recorded and tracked.
But make sure you’re not confusing marketing emails with sales emails!
Marketing emails are great for reaching lots of people with newsletters, promotions, or event invites, but they need the right setup to avoid spam issues.
Sales emails, on the other hand, are more personal and meant for direct contact with leads, making them more likely to be opened and get a response.
